How to Prepare Artwork Files for Custom 3D Stainless Steel Sign Production

Most customers come to us excited about their new lobby sign — then send a screenshot from Canva, a low-res JPG, or a phone photo of their old business card. We love the enthusiasm. But before any stainless steel gets cut, the artwork has to be production-ready.
If your file isn’t a clean vector, two things happen: we either ask you to redo it (delaying your project), or we redraw it for a small fee (adding cost). This guide walks you through exactly how to prepare artwork files so your custom 3D stainless steel letters move from “idea” to “laser bed” without surprises.
1. Use a vector format — always
Production machines (laser cutter, CNC router, waterjet) read paths, not pixels.
- Best: Adobe Illustrator (.ai), Encapsulated PostScript (.eps)
- Acceptable: PDF saved from Illustrator with “Preserve Illustrator Editing Capabilities” enabled, SVG
- Reference only: PNG at 300 dpi (we can trace, but edges won’t be crisp), JPG (never usable alone for cutting)
If you only have a bitmap file, tell us upfront. We’ll provide a redraw quote instead of moving forward with unworkable assets.

2. Convert text to outlines (expand fonts)
Your installed font (such as Montserrat Bold) will not exist on our production workstations. If you leave text as live editable type, the software will either substitute a wrong font or fail to open the file entirely.
- In Illustrator: Go to Type → Create Outlines (shortcut: Cmd/Ctrl + Shift + O)
- Verify every character becomes a closed filled shape, no editable text remains
- Embedding fonts in PDFs is not reliable for metal cutting; outlining text is the only safe method
3. Expand strokes into closed fills
A thin stroke around letterforms cannot be read as a cutting path by CNC equipment. Machines require solid closed shapes.
- Select all artwork → Object → Expand, and expand both fill and stroke attributes
- Delete the original stroked layer
- Double-check no tiny hairline paths are left behind, as these will cause cutting errors
4. Set real-world physical scale
We do not fabricate signs based on pixel dimensions. Your file should be built to 1:1 actual size, or clearly marked with a scaling ratio.
- Preferred: Design the artwork at true millimeter/centimeter measurements (e.g., total wordmark 1200mm wide)
- If you design at a smaller scale, add a clear note: “Artboard scale: 100mm = 1000px, scale 10x for production”. 1:1 files are always the lowest-risk option.
- Never send a standard A4 file and ask us to “fit it to a 3m wall” — guesswork always leads to revisions and extra costs.

5. Organize layers for cutting and lighting
Even if your finished sign uses brushed or polished stainless steel, cutting files are monochrome. Clean layer organization speeds up programming and avoids mistakes.
- Place all primary cutting paths on a single layer, using black fills with no strokes
- Put engraving, backlit halo glow areas on a separate clearly labeled layer
- Remove gradients, shadows, glows and render effects — these are visual assets, not production data
6. Common artwork issues and stroke weight considerations
Many clients run into avoidable errors when preparing files for metal fabrication:
- Canva exports: Canva cannot generate native AI/EPS files. Export an SVG, then open and outline it in Illustrator for best results
- Word/PPT logos: Curved letterforms cannot be traced cleanly from Office files; full recreation in Illustrator is recommended
- Thin fine-line logos: Any strokes thinner than 3mm at final size will break during steel cutting. We will suggest a thicker redraw for structural durability.

7. What to include when sending your file to us
When you share your artwork, attach these items to prevent back-and-forth emails:
- The final vector file (.ai / .eps / print-ready PDF)
- A flattened PNG preview, so we confirm we are working on the correct logo version
- Exact finished physical dimensions (total width or individual letter height)
- Material and finish preference, such as brushed 304 stainless steel with backlit illumination
